Reservations

To rent the stage, complete a Mobile Stage Rental Application Form, email our reservations specialist, call 919-560-4355, ext. 27202, or visit our administration office at 400 Cleveland Street during normal business hours.

All mobile stage reservations must be made at least 45 days in advance. 

After reserving the stage, you will need to email Cicely Parrish or call (919) 560-4355 ext. 27328 to set up an on-site meeting to discuss where the stage should be placed.

Mobile Stage Reservation Procedures

  1. The stage is available for rental subject to the schedules of pre-existing programs, events, classes and/or other activities.  DPR reserves the right to deny any application. 
  2. Stage reservations must be completed at least 45 days in advance of the event.  The security deposit and application fee is due 10 days after your request is made.  
  3. All fees are due 45 days in advance of the rental.  If your reservation is made within 45 days of your event all fees are to be paid in full at the time of reservation.  
  4. An onsite logistics meeting with delivery and setup staff for the stage is required to confirm suitability of the site and desired location. This meeting must be completed at least 15 days prior to the date of the event.  Contact Cicely Parrish at (919) 560-4355 ext. 27328 to schedule this meeting. 
  5. Changes to your stage rental cannot be made less than 30 days prior to your event.   
  6. Renters must provide accurate contact information including: address and day-of contact phone number for the event.  
  7. Renter’s wanting prior day delivery or post day pick-up will be required to book the stage for the additional day(s) and provide in person supervision for all hours of the stage reservation, including overnight hours.
  8. Renters may not sublet the stage to another group or individual. 
  9. When located in DPR facilities, parking is allowed in designated parking areas only.  No motorized vehicles are allowed on the grass or pathways!  This includes unloading of supplies and any event set-up/breakdown that is required.  
  10. Renters are responsible for the set-up, breakdown and logistical coordination of the event.  Water, electricity and other needs should be carefully considered when selecting your event locations as these services are not available with the stage.  
  11. The use fee and deposit will not be refunded for cancellation less than 45 days prior to the requested date of use.  Application fees are non-refundable. 
  12. The City of Durham and other agencies, government or private, may require other permits, security services or equipment rentals.  Acquisition of these extra services, permits and equipment are the renter’s responsibility and expense.  The information below covers some of the more common items.  
    • Building Permit and Inspection: The majority of stage rentals will require a building permit and stage inspection available through the City-County Inspections Department.  The associated permit and inspection fees are paid to the that department by the renter. 
      • A permit is required when erecting a modular or temporary stage greater than 120 sq. ft., and for a period of less than 180 days.  This includes the DPR mobile stage unless the stage will be located in the Public Right of Way (ROW) with appropriate ROW authorities.    
      • The cost of the permit is based on a percentage of what it costs to obtain/erect the stage or structure.  Per the City-County Inspections Department Fee Schedule the following fees apply for the DPR mobile stage (where cost to obtain/erect stage is $0 - $5000):
        • Building Permit Fee: $104
        • Plan Review ($0-$5000): $104
      • Inspections after normal business hours, (after 4pm daily and on weekends), will be charged the after-hours rate.  Scheduling after hour inspections requires a minimum of at least 24-hour advance notice to the Chief Inspector/Supervisor of the applicable trade.  After hour inspections are scheduled based solely on the availability of an inspector. The fee must be paid at the time the inspection is scheduled.
        • $125.00 per hour - Minimum of two hours directly following work hours.
        • $125.00 per hour - Minimum of three hours if the inspector has to leave their home to perform the inspection.
      • The Building Application Form can be found online. It is the renter’s responsibility to file an application for the Building Permit.  In addition to the application you will be required to submit a depiction indicating the location of the stage and accessible access area for the stage; and list the dimensions of the stage as well as stage manufacturers specs/set-up instructions.  Note: in order to submit an application online, log-in credentials must be obtained by sending an email to: permittechnicians@DurhamNC.Gov
      • City-County Inspections requires that applications be submitted at least two weeks prior to the event date to allow time to process the application and schedule the inspection.  
    • Special Events Permits: A City of Durham Special Event Permit issued by the Durham Police Department may be required.  Additional information and the application are available on the Durham Police Department website.
